Tenant Involvement

At Gedling Homes we are fully committed to ensuring that tenants and residents directly influence and shape our services as well as helping us to continually improve the services we provide. We are committed to tenant involvement and are keen to encourage tenants and residents, individually and collectively, to influence decisions about their homes as we believe that this results in high levels of customer satisfaction.


Main Aims of Tenant Involvement

At Gedling Homes we aim to;
  • Increase tenant and resident involvement via recognised structures
  • Ensure that those persons involved fully represent their communities
  • Increase involvement from younger people, families and minority groups
  • Assist the development of Tenant and Resident Groups by developing a Handbook and Support Pack
  • Develop an Involvement Statement with tenants

How You Can Get Involved

There are different ways you can choose to become involved which are tailored to meet your individual needs.


Individual Involvement

This is the level where all tenants receive key information about our housing service and are consulted about issues that affect their homes.

  • A Tenants Quarterly Newsletter, which will be sent to all tenants and which contains articles written by tenants
  • Information on our website regarding tenant involvement, and which will also feature articles written by tenants
  • Open public meetings
  • An Annual Tenants Conference
Examples of issues that you will be consulted on include;
  • Tenancy Conditions and Agreements
  • Statutory Consultation Issues
  • Major Repairs and Improvements to your Home
  • Neighbourhood issues which affect tenants homes

Group Involvement

We actively encourage and support Tenants and Residents groups in the Borough. There are already groups in existence and the formation of new groups is encouraged and we offer support to help set new groups up and run such projects. If there isn’t one, you could consider, with your neighbours, setting one up. The Tenant Participation Officer can offer advice and support to help you do this

Examples of issues we would consult groups on include
  • Management of Housing Service
  • Repairs and Maintenance
  • Setting, Monitoring and Reviewing Services

We can also arrange for specialist presenters to come to group meetings eg Police, Age Concern, to talk about issues of interest to the group.


Tenant Voices

Periodically Gedling Homes writes to our tenants to ask if they would be interested in joining the Tenant Voices consultation database. Tenants who have expressed an interest to be part of the Tenant Voices consultation database receive documents for comment on a range of our services. Once tenants have read the documents they can feedback via post, telephone, e mail or by attending a meeting.

This database allows Gedling Homes to consult more widely with tenants as it provides another medium for tenants to become involved in a manner which suits them.

Examples of issues we would consult on include:
  • Developing our policies and strategies
  • Service and Performance Strategies

Tenant Consultation Panel

This consists of a panel of tenants, representing all areas of the Borough, who meet on a regular basis with officers from Gedling Homes to talk about a variety of issues including policy, strategy, equal opportunities and diversity and performance matters.

This group is a key focus for tenant consultation in the Borough and it helps to ensure that tenant views are incorporated into the decisions that impact on all our services.



Tenant Sounding Board

The Tenant Sounding Board would be nominated and elected via the Tenant Consultation Panel and would be involved in the more detailed policy development, provide an editorial resource for all tenant information and documentation and review reports for the Gedling Homes Board.


Service Improvement Panels

To ensure services are customer focused, Gedling Homes has established Service Improvement Panels on which tenant involvement and participation is key. Members of formal Tenants Groups, the Tenant Consultation and the Tenant Voices database are invited to join such panels. These panels review and monitor services and make recommendations to ensure continuous improvement.


Tenant Member Panel

This panel consists of a pool of potential Tenant Directors. Tenants on this panel are required to undertake appropriate training and having done so may nominate themselves to stand in the Tenant Director elections. Any Assured Tenant can put their name forward to join the Tenant Member Panel. Acceptance on to the panel would be via an application and brief interview process.


Gedling Homes’ Board Meetings and Membership

One third of the Directors on the Gedling Homes’ management Board are tenants who have been elected by tenants to represent their views at this high level. Potential Tenant Directors will be drawn from the Tenant Member Panel. (See below). Tenant Directors are selected by a ballot of all tenants every three years.

Tenant Directors have exactly the same status, rights and responsibilities as other Board Members. As a Director of the Board, a tenant would need to attend Board Meetings and training events and are responsible, with the rest of the Board, for making decisions about services and major work programmes.



Road-shows

We undertake consultation road-shows across all parts of the Borough throughout the year. We use these to promote our services and to encourage tenants to become more involved in all aspects of our services and to let residents know what is happening in their area.


Furthermore

If you decide that you want to get involved with your neighbours you can:
  • Ask for support and advice from our Tenant Participation Officer to set up your own Tenants’ and Residents’ Association
  • Ask us to set up a forum where tenants have the opportunity to have their say and contribute to plans for the neighbourhood
  • If your interest is to get involved in a particular subject (for example, repairs, improvements, lettings), there may be a special working group to which you can contribute your ideas
  • Become a mystery shopper or Tenant Inspector
